How to identify the right industrial spare part

Reduce back-and-forth by collecting the right machine and component details.

Published 3 November 2026 · Safe Automations

A spare part that looks similar is not necessarily interchangeable. The aim of the first enquiry is to identify the machine and component accurately so compatibility can be checked before ordering.

Start with the machine identity

Record the equipment manufacturer, full model and serial number. A machine's build version can affect which components are fitted. If several similar machines are installed, identify the specific unit needing the part.

Use a part number where available

Check the parts list or existing service documentation for the exact reference. Include any revision or suffix. If the reference is unclear, say so; a guessed number can lead to the wrong item being quoted.

Collect accessible information safely

Photograph an accessible label only when safe and permitted. Do not remove guards or access energised equipment for a photograph. For components that cannot be inspected safely, ask the authorised maintenance team to follow the site procedure.

Explain quantity and urgency

State whether the part is for a breakdown, planned replacement or stock. Give the quantity, equipment location and any required date. Availability and delivery should be confirmed in the quotation; the enquiry itself does not reserve stock.

Confirm the offer before ordering

Check the quoted part reference, machine compatibility, quantity and included accessories with the service team. Where an alternative is proposed, request confirmation of suitability for the intended machine and application.

Keep a repeat-order record

After the correct part is confirmed, retain the reference against the machine serial number. Keep the quotation or order reference with the asset record so future enquiries start from verified information.
