A practical guide to planning preventive maintenance

Build a useful maintenance discussion around equipment, history and production windows.

Published 3 November 2026 · Safe Automations

Preventive maintenance starts with a practical picture of the installed equipment and how it is used. A calendar alone does not define the right work: the machine manual, operating conditions and service history all matter.

Build an equipment register

List each machine with its manufacturer, model, serial number, location and responsible person. Include connected equipment whose condition can affect the line, such as conveyors, printers, inspection systems and downstream packaging machines.

Use the manufacturer's maintenance requirements

Collect the current manuals and existing maintenance records. Identify the specified tasks, intervals, consumables and specialist requirements. Do not replace a machine-specific schedule with a generic checklist from the internet.

Prioritise operational needs

Mark assets whose failure stops the line, creates repeated quality concerns or requires a difficult-to-source part. Record recurring alarms, unplanned stops and temporary repairs. This helps frame the maintenance discussion without assuming that every machine needs the same visit frequency.

Plan a workable service window

Agree access, shutdown timing and the responsible site contact before a visit. Clarify the site requirements for permits, isolation, hygiene and production restart. Work should be performed by authorised personnel under the applicable site procedures.

Define the scope before choosing an AMC

Discuss covered machines, planned visits, reporting, spare parts, consumables, travel, exclusions and response arrangements. Ask how follow-up work is agreed. A clearly documented scope is more useful than comparing contract prices alone.

Review after each visit

Keep the service record with the asset and assign owners for outstanding actions. Record the date, observations, work completed and the next planned action. Use recurring findings to update the plan with your service team.
